Administrative Assistant

CHAYLE Jewellery Studio
Started in 2013 by artist goldsmith Chayle Cook, the studio produces contemporary and unique jewellery for professionals and artists using only responsible and ethical practices. Each collection is exclusively designed and handmade in Ottawa using fair-trade gemstones, Canadian diamonds, and recycled sources of precious metals. The collections are carried by multiple store fronts as well as online and custom designs can be ordered directly from the designer.

The Opportunity:

I am looking for a reliable and resourceful administrator who is positive and engaging with clients and colleagues. This position will bring you the opportunity to work behind the scenes in the jewellery and design industry. This person will assist and work closely with me (the owner and designer, Chayle Cook) to build relationships with clients, promote new jewellery collections, prepare reports on sales and inventory, and keep the vision of the company on track. The tasks of this position are primarily cloud based and can be accessed from the assistant's home office. A strong understanding and competence with technology, social media, and communications will be required. Meetings with the owner will be held once a week to catch up on the previous week, mediate any issues, and discuss ideas for the week ahead.



The Position:

  • Administrative Assistant

  • Part-time 5-10 hours/week (work from home, weekly meeting for review)

  • Starting $12.75/hour (raise after 6 months, holiday bonus, and 40% staff discount)


    • Communicate with clients

    • Communicate with suppliers

    • Schedule meetings

    • Prepare invoices 

    • Prepare deliveries

    • Prepare shipments

    • File bills/expenses

    • Draft purchase orders

    • Follow up on client's overdue payments

    • Track inventory

    • Create restock requests for low inventory

    • Create timeline estimates for production orders

    • Create quotes for clients

    • Update web shop (Shopify)

    • Experienced in book keeping or data entry

    • Experienced in luxury product sales

    • Experienced in the jewellery trade

    • Experienced in communications or marketing

    • Fluent in French (especially written)
